Event upload limits: what to expect and how to plan

Wedding guest films a celebratory reception toast

Every guest photo service has limits, and they usually come in four kinds: how many photos each guest can add, how long a video can be, how long guests have to upload, and how long the gallery stays online. Knowing them before the big day means no surprises at the reception. This guide explains each limit in plain words, shows how they work on SnapPix, and gives you a short plan so nothing gets lost.

The four limits that matter at an event

When people search for event upload limits, they are often comparing very different things. Some pages ranking for the phrase are about file size on a website form or how many calendar entries fit in a day. For a wedding, birthday or Christmas do, you only need to think about four things.

  1. Uploads per guest. How many photos and videos one person can add.
  2. Video length. How long a single clip can be.
  3. Upload window. How long after the event guests can keep adding.
  4. Hosting time. How long the gallery stays online for you and your guests to enjoy.

There is a fifth thing many hosts forget to ask: whether there is a cap on the number of guests. On SnapPix there is not. Guests are unlimited on both plans, so you never have to leave anyone off a list to stay under a number.

The sections below take each limit in turn.

Limit 1: uploads per guest

This is the limit that shapes your plan most. A per-guest cap means each person gets their own allowance, so one enthusiastic cousin cannot use up everyone else’s share.

On SnapPix:

  • Free plan: £0, no card needed, 10 uploads per guest.
  • Full Event Access: £14.99 one-time per event, unlimited uploads and up to 50 AI illustrations, no subscription.

Both plans include everything else: photo challenges with a live leaderboard, the digital guest book, the optional Event Reel with likes and comments, the full-screen slideshow, host-only AI Smart Albums, private share links, high-resolution downloads and Google Drive backup. The only difference is the upload allowance and the illustrations. You can see both plans side by side on the SnapPix pricing page.

Is 10 uploads per guest enough?

For many events, it is a good start. Think about how people really behave. Most guests take a handful of photos that matter: the arrival, the first dance, the cake, a group shot, a silly one with friends. They are also in the moment, not behind their phone.

A simple way to judge it:

  1. Picture your guest at the event. Will they treat the gallery as a place for a few highlights, or as the place for everything they shoot?
  2. Think about how long the event runs. A two-hour afternoon tea is different from a wedding that runs from the ceremony to the last dance.
  3. Think about your guests. A group of friends on a stag do or hen do will usually shoot a lot more than a quiet family gathering.
  4. Think about what you want back. If you hope to collect as much as possible, the higher allowance helps.

If you expect guests to share plenty, Full Event Access removes the per-guest cap. It is a single payment for that one event, so there is no subscription to remember to cancel.

What the Free plan is good for

The Free plan suits smaller parties, a trial run before a larger event, or a host who simply wants the best few photos from each person. Every event starts on Free, so you can create the event, print or share the QR code and see how it feels before you decide anything.

Limit 2: video length

Guests can record videos of up to 60 seconds. That is long enough for a toast, a cheer as the cake is cut or a quick message to the couple, and short enough that the gallery stays easy to watch back.

A few tips to share with guests:

  1. Hold the phone sideways for the first dance, so the clip fills the screen.
  2. Keep clips to one moment each. Three 20-second videos are easier to enjoy than one long one.
  3. Guests can also upload videos already saved on their phone from their camera roll, so someone who filmed in their normal camera app can still add the clip.

Limit 3: the upload window

The upload window is how long guests can add photos. On SnapPix, guests can add photos for 3 months from the event start date.

That matters more than it sounds. Guests rarely upload everything on the night. Someone remembers on the train home. Another finds their best shots on Sunday morning. A third only gets round to it after the honeymoon. A window that runs for months lets all of them add their photos without a rush.

The key phrase is from the event start date. The 3 months are counted from when the event begins, not from the day you first create it. If you set up your event well in advance, the clock does not start until the event itself.

Weddings that run over more than one day

Many UK weddings now include a welcome drinks evening, a ceremony and a next-day breakfast. Because the window runs from the event start date and is measured in months, there is plenty of time for photos from all of it. Share the same QR code for each part of the weekend, or use photo challenges to nudge guests to capture specific moments.

Hosting is separate from uploading. The gallery is hosted for 12 months from the event date. During that time you and the people you choose can look back, share and download.

This is easy to mix up, so here it is side by side:

Limit How long Counted from
Guests can add photos 3 months Event start date
Gallery is hosted 12 months Event date

So guests add photos during the first 3 months, and the finished gallery then stays hosted until the 12-month mark. After that, you will want your own copy, which is why the next section matters.

What to do before the hosting period ends

Do not leave your photos in only one place, whatever service you use. A calm, simple routine takes a few minutes.

  1. Wait for the upload window to close. Give guests their 3 months, then see what has arrived.
  2. Download your ZIP. High-resolution downloads are included on both plans, and you can grab everything in one click as a ZIP. Single downloads work too if you only want a few favourites.
  3. Connect Google Drive. Google Drive backup is included on both plans, so a copy sits in your own account as well.
  4. Store a copy somewhere you control. A hard drive or your usual cloud storage is a good habit for photos you want for decades.
  5. Make a note in your calendar. We do not send expiry reminder emails, so set a reminder for yourself a couple of months before the 12 months are up.

If you want a wider look at why this matters for shared albums on phones, our post on shared album limits covers it.

What happens when signal is poor

A lot of lovely venues, from barns to country houses to marquees, have patchy mobile signal. Upload limits are no use if photos fail to arrive.

On SnapPix, uploads wait on the guest’s phone if signal drops, then go through once the phone is back online. Guests do not need to do anything clever. It helps to know a few things:

  1. Tell guests to keep the page open for a moment once they are back in signal.
  2. If the venue offers guest Wi-Fi, put the details on the same sign as your QR code.
  3. Remind guests that they can upload from their camera roll later, at home, within the 3-month window.

For more on this, read our guide to event photo uploads with weak Wi-Fi.

How guests join without any fuss

Limits are only helpful if guests actually take part. Guests scan your QR code with their phone camera and it opens in their browser, with no app to download and no account to create. They can take photos and videos in the browser camera, or choose from their camera roll.

Your QR code carries a private event password, so only people you give it to can get in. There’s nothing for guests to type. That keeps the gallery private by default, and it keeps joining quick for everyone from the youngest cousin to a grandparent who does not like new apps.

You can put the QR code on:

  • table cards or place cards
  • a sign by the entrance or the bar
  • invitations or the order of the day
  • a slideshow screen at the reception

If you would rather not print them yourself, you can order printed QR place cards, table signs and entrance signs, posted to you. See QR cards for the options, and our tips on a wedding QR code sign for where to put them.

Planning your allowance: three examples

These are simple, made-up planning scenarios to help you think, not statistics.

A small family birthday

Twenty people, a long lunch and a cake. Guests are mostly family and will take a few photos each. The Free plan, with 10 uploads per guest, may be all you need. Start there and see how it goes.

Birthday cake at a family lunch

A wedding with an evening reception

A long day, lots of moments and guests who will want to share everything from the ceremony to the dance floor. If you hope to gather as many photos and videos as people want to add, Full Event Access gives unlimited uploads for £14.99 one-time per event. You also get up to 50 AI caricature and watercolour illustrations, with up to 4 per guest, which tends to be a favourite at the tables. Our wedding photo collector guide explains how couples set this up.

A Christmas do for a team

A workplace evening where people want a few fun shots and a record of the night. The Free plan could suit a relaxed team. Photo challenges with a top-10 leaderboard add some friendly competition either way. Because the gallery is private and guests need no account, there is nothing for colleagues to sign up for.

Getting more from each upload

Whatever your allowance, a few things help guests make every upload count.

  1. Use photo challenges. Challenges give guests a reason to look for specific moments, and a live leaderboard shows the top 10. You also get challenge albums.
  2. Ask for the guest book. The digital guest book lets people leave a message, which does not rely on photos at all.
  3. Try the Event Reel. It is optional, and adds likes and comments for guests who enjoy browsing.
  4. Use Smart Albums. As host, you describe what you want, such as “first dance” or “cake”, and SnapPix builds an album from matching photos. Smart Albums are host-only.
  5. Show a slideshow. A full-screen slideshow at the reception encourages more guests to add their own.

All of these are included on both plans.

Privacy and photos of other people

A shared gallery is a lovely thing, and it deserves a little care. SnapPix galleries are private by default, and you can create private share links with an expiry date when you want to show photos to someone who was not at the event.

A few kind habits:

  1. Tell guests what the gallery is for, so they know their photos are going into a shared space.
  2. Ask before sharing photos of children beyond the guest list. Parents often have their own views.
  3. Think about consent if you plan to post photos publicly, and keep to the principles of UK GDPR where it applies to you.
  4. If someone asks you to remove a photo, do so promptly.

This is general good practice, not legal advice. If you are organising a large or commercial event, check what applies to you.

Our view on limits

We built SnapPix after planning our own wedding, and we kept running into the same worry: what happens to photos if something goes wrong on the day? So we aimed for limits that are easy to understand and easy to plan around.

We think a genuinely usable free plan matters. That is why every event starts on Free, with £0, no card needed and 10 uploads per guest. You can see how guests take to it before you spend anything.

When you want guests to share freely, Full Event Access is £14.99 one-time per event. No subscription, and no renewal to keep track of. We would rather you pay once for the day that matters than watch a monthly charge.

We also think the window should be generous. Guests can add photos for 3 months from the event start date, because the best photos often arrive a week later. And please download your ZIP and connect Google Drive. We want you to own your memories.
